Welcome to Poling Tours, an official travel agency under PT. Harmoni Bahari Indonesia. Before booking a trip with us, please read and understand the following terms and conditions. We are committed to providing high-quality services to make your journey an unforgettable experience.

A. BOOKING PROCEDURE

To book a trip with Poling Tours, please check the availability of tours and select your desired activity, then proceed with the booking. We will verify your booking and provide detailed information about the selected trip. Once you agree to the details, customers are required to make a deposit of 30% of the total trip cost.

Customers can make reservations via phone, WhatsApp, or email. Reservations will be confirmed in writing by Poling Tours, and an invoice will be issued. We are not responsible for any incorrect information provided by trip participants. Therefore, customers must review and verify the booking confirmation we provide.

B. PAYMENT

Customers will receive an invoice after their booking is confirmed by Poling Tours. Payment must be made before the due date stated in the invoice. If the deposit is not received before the due date, the booking will be automatically canceled. Payment of the deposit indicates that the customer has read and agreed to these terms and conditions.

Customers can make payments through Poling Tours’ bank account, via Wise.com (USD, Euro, IDR), or directly at our office. Any bank fees and currency conversion differences are the customer’s responsibility. Customers will receive a voucher for the booked travel services and the due date for the remaining balance. The remaining balance must be received by Poling Tours at least one week before departure. For bookings made less than one month before departure, customers must pay the full trip cost no later than one day before departure.

C. CANCELLATION BY CUSTOMERS

Customers may cancel their bookings at any time by contacting Poling Tours. The paid tour package fee is non-refundable unless the customer reschedules their trip within the same year.

D. CHANGES/CANCELLATION BY POLING TOURS

In situations beyond our control, such as extreme weather conditions or force majeure, Poling Tours reserves the right to cancel or reschedule trips with or without prior notice.

  • If we cancel the trip before departure and the customer has paid in full, the customer is entitled to a 70% refund of the total amount paid.
  • If we cancel the trip before departure and the customer has made a partial payment or down payment, the customer is entitled to a 50% refund of the down payment made.
  • If the trip is interrupted while in progress due to circumstances beyond our control, we will replace the boat with an equivalent class (facilities and specifications) or provide a proportional refund, which will be calculated transparently and accountably by management.

E. INSURANCE

Customers are required to have travel insurance that covers medical expenses due to accidents or illness during the trip, loss of belongings, and/or loss of travel expenses due to trip cancellations or reductions caused by airline or hotel delays.

F. FLIGHTS

All departure and arrival schedules provided by airlines are estimates and may change due to operational constraints, weather conditions, or air traffic regulations. Poling Tours is not responsible for flight schedule changes or losses incurred due to delays that cause customers to miss their flights. We highly recommend that tour participants arrive at least one day before the tour begins.
